Terms and Conditions of Amazing Ethiopia Tours

These Terms and Conditions govern the contractual relationship between you (the "Traveler" or "Client") and Amazing Ethiopia Tours (referred to as "we," "us," or "the Company"), an Ethiopian-based tour operator. By booking a tour or service with us, you agree to be bound by these terms. Please read them carefully before making a reservation.
1. Booking and Confirmation
1.1 Reservation Process: To book a tour, you must complete a booking form and submit it along with the required deposit. Bookings are considered confirmed only upon receipt of the deposit and written confirmation from Amazing Ethiopia Tours.
1.2 Deposit: A non-refundable deposit of 30% of the total tour cost is required at the time of booking, unless otherwise specified. The deposit secures your place on the tour.
1.3 Final Payment: The remaining balance must be paid in full at least 30 days prior to the tour start date. Failure to make full payment by this deadline may result in cancellation of the booking, with the deposit forfeited.
1.4 Custom Tours: For tailor-made tours, specific payment terms and conditions will be outlined in a separate written agreement.
2. Pricing
2.1 Tour Costs: Prices are quoted in US Dollars (USD) or Ethiopian Birr (ETB) and include services as specified in the tour itinerary (e.g., accommodation, transport, guide services, and entrance fees). Prices are subject to change due to factors such as currency fluctuations, fuel surcharges, or government taxes.
2.2 Exclusions: Unless explicitly stated, prices do not include international airfare, visa fees, travel insurance, personal expenses (e.g., souvenirs, laundry, tips), or additional activities not listed in the itinerary.
2.3 Single Supplement: Solo travelers may incur an additional single room supplement fee, as specified in the tour details.
3. Cancellation and Refund Policy
3.1 Cancellations by the Traveler:

More than 60 days prior to departure: Full refund, less the non-refundable deposit (30% of tour cost).

60 to 31 days prior to departure: 50% of the total tour cost will be refunded, less the deposit.

30 to 15 days prior to departure: 25% of the total tour cost will be refunded.

Less than 15 days prior to departure or no-show: No refund will be provided. 3.2 Cancellations by Amazing Ethiopia Tours:

We reserve the right to cancel a tour due to insufficient bookings, force majeure (e.g., natural disasters, political unrest), or other unforeseen circumstances. In such cases, you will receive a full refund of all payments made, or we may offer an alternative tour or departure date.

We are not responsible for additional costs incurred by you, such as non-refundable flights or visas. 3.3 No Refunds for Unused Services: No refunds will be provided for unused portions of the tour, including accommodation, meals, or transportation, unless otherwise agreed in writing.
4. Health and Vaccination Requirements
4.1 Mandatory Vaccinations: All travelers must have a valid health certificate for yellow fever vaccination. Vaccination against cholera is required for anyone who has visited or transited through a cholera-affected area within six days prior to arrival in Ethiopia.
4.2 Health Fitness: Travelers must be in good physical and mental health to participate in tours, which may involve strenuous activities such as hiking or high-altitude travel. You must disclose any medical conditions or dietary restrictions at the time of booking.
4.3 Medical Insurance: Comprehensive travel and medical insurance is mandatory for all travelers. The policy must cover medical emergencies, trip cancellations, and evacuation in remote areas. Proof of insurance may be requested before departure.
5. Passports and Visas
5.1 Passport Validity: Your passport must be valid for at least six months from the first day of the tour.
5.2 Visa Requirements: Travelers are responsible for obtaining the necessary visas for Ethiopia. We can provide guidance and invitation letters if required, but we are not liable for visa denials or delays.
5.3 Currency Declaration: Foreign currency must be exchanged at authorized banks or hotels, and a receipt must be retained. A currency declaration form may be required upon entry and must be kept for exit formalities.
6. Travel Insurance
6.1 Mandatory Coverage: You must obtain comprehensive travel insurance covering trip cancellation, medical emergencies, evacuation, and personal liability. We strongly recommend insurance that includes coverage for adventure activities if applicable (e.g., trekking in the Simien Mountains).
6.2 Proof of Insurance: You may be required to provide proof of insurance prior to tour departure.
7. Itinerary Changes
7.1 Flexibility: Itineraries are subject to change due to weather, road conditions, safety concerns, or other unforeseen circumstances. We will make reasonable efforts to provide comparable alternatives but are not liable for changes beyond our control.
7.2 Guide Decisions: Our guides and tour leaders have the authority to make decisions in the interest of safety and group welfare. You agree to follow their instructions during the tour.
8. Liability and Responsibility
8.1 Assumption of Risk: Travel in Ethiopia may involve risks, including those related to political instability, natural conditions, or remote locations. By booking, you acknowledge and accept these risks.
8.2 Limitation of Liability: Amazing Ethiopia Tours, its agents, and suppliers are not liable for injury, loss, damage, delay, or additional expenses caused by factors beyond our control, including but not limited to acts of God, war, strikes, or government actions.
8.3 Third-Party Services: We contract with third-party providers (e.g., hotels, transport companies) to deliver tour services. We are not liable for any failures, delays, or incidents caused by these providers.
9. Traveler Conduct
9.1 Respect for Local Laws and Customs: You agree to comply with Ethiopian laws and respect local customs, traditions, and cultural sensitivities.
9.2 Behavior: Disruptive or unsafe behavior may result in your removal from the tour without refund. You are responsible for any damages caused by your actions.
10. Photography and Media
10.1 Use of Images: We may take photos or videos during tours for promotional purposes. By participating, you consent to the use of your likeness unless you notify us in writing at the time of booking.
10.2 Respecting Communities: Photography of local people, especially in tribal areas like the Omo Valley, must be done respectfully and with permission.
11. Force Majeure
11.1 We are not liable for failure to perform our obligations due to events beyond our control, including natural disasters, political unrest, pandemics, or other extraordinary circumstances. In such cases, we will provide reasonable assistance to mitigate impacts, but no compensation will be offered beyond refunds outlined in Section 3.2.
12. Complaints and Disputes
12.1 Reporting Issues: Any issues during the tour must be reported to the tour guide or our office immediately to allow us to address them promptly.

12.3 Governing Law: These terms are governed by the laws of Ethiopia. Any disputes will be resolved in the courts of Addis Ababa, Ethiopia.

13.1 We reserve the right to amend these terms and conditions at any time. The version in effect at the time of your booking applies to your tour.
